A single license allows you to create a unique set of EN 18031 Technical Documentation and Test Plans. The number of licenses you need depends on how many unique sets of documentation are required for your RED DA compliance.

For example, if you produce 20 types of products that can be categorized into 5 families, you can perform your compliance activities on those 5 families (rather than each individual product) and prepare 5 sets of Technical Documentation. In this case, you only need 5 licenses.

To determine how to group your devices into families, consider the differences among your products. If the differences are substantial (e.g., firmware is different), you cannot group them into the same family. If the differences have no impact or only a negligible impact in meeting EN 18031 requirements, you can safely group them together in a single family (Pro tip: Make sure to explain your rationale in your Risk Assessment). This approach is aligned with Notified Bodies' guidelines.

If you're new to EN 18031 and cannot estimate the impact, we recommend starting with Z-CMS using 1 license. This will help you learn about EN 18031 and determine the appropriate grouping later. You can then purchase additional licenses if needed.

There is no limit to how many times you can generate/download your Technical Documentation and Test Plans. Moreover, Z-CMS is not a per-seat application. You can create as many users as you like.
